Privacy Policy

Last updated June 2026

I take your privacy, confidentiality, and data protection seriously. This policy explains what information I collect, how I store it, and your rights under UK data protection law, including the UK GDPR and the Data Protection Act 2018.

1. Who I am

Kelly Anne Freeman

Counsellor / Psychotherapist

BACP Accredited Member

Based in Greenwich, London

I am registered with the Information Commissioner’s Office (ICO) and comply with all ICO requirements for data protection.

2. What information I collect

I only collect the minimum information needed to provide counselling safely and ethically.

When you contact me

  • Your name
  • Your email address
  • Any information you choose to include in your message

During our work together

  • Brief session notes
  • Your contact details
  • Relevant information you share that supports our therapeutic work

I do not collect personal data through my website.

There are no forms, no tracking cookies, and no analytics tools gathering information about you.

3. How I store your information

I store client information securely and separately from my website.

  • Notes and confidential information are kept on a separate, encrypted hard drive
  • Where handwritten notes are used, they are kept in a locked box
  • Email correspondence is stored within my secure email account
  • No client information is stored on the website itself

Only I have access to this information.

4. How long I keep your information

  • I keep session notes for up to 7 years, in line with professional guidance
  • I delete your contact details when we finish working together
  • Emails may be retained for up to 12 months for administrative purposes, unless you request deletion sooner

5. Your rights

You have the right to:

  • access the information I hold about you
  • request corrections
  • request deletion of your data
  • withdraw consent
  • raise concerns about how your data is handled

You can do this at any time by emailing me at:

contact@kellyannefreemancounsellingservices.com

6. Sharing your information

I will never share your information with third parties unless:

  • you give explicit consent
  • I am legally required to do so
  • there is a serious and immediate risk of harm to you or someone else

In line with ethical practice, I may discuss aspects of our work with my clinical supervisor, but you are never identifiable in these discussions.

7. Online sessions and Zoom note‑taking

If we work online, I use secure, encrypted video platforms such as Zoom.

I do not record sessions.

Zoom offers a temporary note‑taking feature during meetings.

If I use this feature, I only use it to summarise key points during the session, and I delete these notes immediately before ending the call.

No notes are stored on Zoom’s servers, and nothing is saved outside the session.

My full session notes are written separately and stored securely in line with this policy.

8. If you have concerns

If you ever have concerns about how your data is handled, please contact me directly.

You also have the right to raise concerns with the ICO:

www.ico.org.uk

9. Updates to this policy

I may update this policy occasionally to reflect changes in law or practice.

The most recent version will always be available on this page.
